Job Title: Administrative Assistant

Location: Wilbraham, MA
Hours: 20 hours per week
Schedule: Monday – Thursday, 8:30 AM – 1:30 PM or 9:00 AM – 2:00 PM
Pay Rate: $20.00 per hour
Responsibilities
- Answer, screen, and direct incoming phone calls in a courteous and professional manner
- Greet visitors, staff, and members of the congregation, providing a welcoming first point of contact for the office
- Perform light bookkeeping duties, including recording transactions, tracking contributions, and assisting with basic financial record-keeping in QuickBooks
- Prepare and process invoices, deposits, and expense records as needed
- Order and maintain inventory of office and general supplies, coordinating with vendors as needed
- Draft, format, and proofread correspondence, memos, bulletins, and other documents using Microsoft Word
- Maintain and organize files, records, and databases, both physical and electronic
- Assist with scheduling appointments, meetings, and use of facility spaces
- Support the coordination of events, mailings, and communications to staff and the congregation
- Monitor and respond to general office email correspondence
- Support day-to-day general office functions and help maintain a smooth-running office environment
- Assist with other administrative tasks and special projects as needed
Qualifications
- Some experience using QuickBooks for basic bookkeeping and financial record-keeping
- Proficiency in Microsoft Office, particularly Word and Excel
- Prior administrative, office, or clerical experience preferred
- Strong written and verbal communication skills
- Excellent organizational skills and close attention to detail
- Ability to manage multiple tasks and prioritize effectively in a small office setting
- Friendly, professional demeanor with strong customer service skills when interacting with visitors and callers
- Comfortable working independently with minimal supervision
- Trustworthy and able to maintain confidentiality of sensitive information
- Reliable, punctual, and able to consistently commit to the scheduled hours
- Familiarity with, or comfort working within, a church or non-profit environment is a plus
